ACADEMICIS PRIVACY NOTICE

Our privacy notice is a way for us to explain how we’re looking after you and your details.  It outlines the way in which we process any personal information that you have provided us with.

Introduction of the General Data Protection Regulation: The introduction of the new data protection law on 25th May 2018, does not alter what we use your personal information for or how we store it.  The new law enables you to seek clarification on how we use it and protect your information.  The GDPR provides an additional opportunity for us to confirm that we respect the information we hold on your and that we take the security of your information very seriously.

 

INTRODUCTION

At Academicis, we believe that as our valued client or candidate, you have a fundamental right to privacy and to control your personal information. We are grateful that you have chosen to be our client or allow us the honour of finding you’re a new role within the Education sector.   We take the responsibility of not only finding you a new Senior leader at your school/trust or placing you in a new role, but also of being guardians of the personal information that you give us, extremely seriously.

For the purpose of the General Data Protection Regulations (the “Regulations”), the data controller is GJL 2018 Ltd, The Barn, Tednambury Farm, Tednambury, Sawbridgeworth, CM23 4BD. The Data Protection Officer is named as Richard Lucas, Managing Director, GJL 2018 Ltd.

 

INFORMATION WE COLLECT FROM YOU

We will collect and process the following data about you:

As a candidate, the information you give us is in the form of a Curriculum Vitae.  This we receive from you as either a Word Document or PDF via email.   When applying for a particular role, you are also required to fill out a client application form.  This form will be sent to us via email.  The information you given us will include your name, address, email address, phone number, educational history, job history, qualifications gained, equal opportunity form, salary details, National Insurance details, Department for Education number and your own personal statement

Why we collect it:

We collect your data in the form described above as we are required to by the Local Authority and the Board of Governors connected with the school (our client) whom we are retained by.  The process of conducting a recruitment search and successfully filling that role, is dependent on the potential candidate’s details being given and then assessed as to the suitability of that candidate for the role we are seeking to fill.

What we do with it:

Your information is logged into our database, provided by Zoho (Client Relationship Management system) and will be used for the purpose of matching your experience to any educational searches we are retained on.  Our turnover of searches is such that you may appear in our headhunting process numerous times throughout the year, we will contact you with a specific role in mind.   Your information is then only shared with a third party (our client of whom you will have knowledge) in the form of a PDF document and a paper bound document. The purpose of this document is to be used at the client Shortlisting Meeting.  Your details will appear in this shortlisting document because you will have formally applied for the vacant role within our client’s school.

Where do we store your data:

Your information is securely stored within our account on Zoho (CRM system) and within our online secure storage system with Dropbox.  Both these facilities operate in line with the new GDPR regulations and their Privacy Policies are available on their websites.

The paper shortlisting document is either put in for confidential shredding or is kept along with other shortlisting documents in a locked cabinet.

RETENTION OF YOUR PERSONAL DATA

Why we retain it:

We will retain your personal data for so long as is necessary for the purposes stated in this Privacy Notice and to address any claims or issues that may arise concerning your use of our Services.

Your information has been collated in the first instance as we believe you to be a valuable addition to our talent pool.  Your experience could be suitable for various roles and we would like the opportunity to share with you what could be your ultimate job role.  We are able to match you to roles, that could be the next step in your career that you are looking for.

After that, we may continue to hold data that relates to you. However, during the time you may contact us to request that we delete personal data we hold about you.

DISCLOSURE OF YOUR INFORMATION

Who can access your data:

Only GJL 2019 Ltd (Trading as Academicis) have access to your personal data.

We will not use this information for anything other than providing the service for which the information was supplied.

 

YOUR RIGHTS

You have the right to ask us to erase your personal data.

If at any point you believe the information we process on you is incorrect, you may ask to see this information and have it corrected or deleted. You also have the right to ask that we restrict the processing of your personal data and to object to our processing of your personal data. You also have the right to obtain from us, and reuse, the personal data we maintain from you, for your own purposes.
